The challenge
Each project had its own budget spreadsheet, and purchase orders and expenses were entered separately. Knowing actual spend against budget took days and came too late to act on.
What we did
- Blueprint of the project process: budget, purchasing, progress and collections.
- Budget per project in Odoo, with every purchase order and expense tied to its project.
- Sales, invoicing and accounting with Mexican localization in the same system.
- Migration of suppliers, customers, active projects and balances from Excel.
- Role-based training for the office and site supervisors, plus 8 weeks of hypercare.
Result
Actual spend against each project's budget, up to date in Odoo, without building a spreadsheet.
Next stage
Systematize: a profitability-per-project dashboard for the owner and retiring the last parallel spreadsheets.
